MySIPMa (Sistem Inventori Dan Pengurusan Makanan) is a centralized web-based management system developed for Jabatan Penjara Malaysia to digitalize food inventory and procurement processes by replacing conventional paper-based practices with a platform that addresses issues of manual record-keeping, time-consuming stock monitoring, and human error in supply chain operations. The objectives of this system are to design a secure digital platform for inventory management, improve precision and efficiency in order placements, and provide comprehensive administrator dashboards that support systematic data monitoring and informed decision-making. The system incorporates core functions such as secure role-based authentication, digital procurement forms with hierarchical verification workflows, automated critical stock alerts, and a supplier performance assessment module based on strict cost, quality, and delivery metrics, while accommodating different categories of users including headquarters administrators, state directors, local directors, and inventory operators. Developed using an iterative approach to ensure flexibility and continuous improvement, the system was implemented with technologies such as Laravel, PHP, MySQL, Bootstrap, jQuery, JavaScript, CSS, and HTML, supported by tools including Visual Studio Code and Laragon, and reinforced with security mechanisms such as password hashing, cross-site request forgery (CSRF) protection, and role-based access control. The results demonstrate that MySIPMa improves the accuracy and reliability of inventory data, reduces administrative workload and processing time, and enhances overall transparency and accountability, thereby contributing significantly to the modernization of food supply management within Jabatan Penjara Malaysia.
