SKY-FACE is a smart key management system developed to improve the efficiency, accuracy, and security of key collection and return records. Manual recording methods often result in incomplete information, difficulty identifying users, and delays in checking key availability. To address these problems, the system integrates face recognition and Radio Frequency Identification (RFID) technologies to verify user identity. Users must scan their RFID cards and faces before they are permitted to collect or return a key. An ESP32 microcontroller processes data from the RFID module, while an ESP32-CAM performs face recognition. Every transaction is automatically stored in a Firebase database, including the user’s name, identification number, date, time, transaction type, and key status. The information can be monitored through a web-based dashboard, allowing administrators to review records in real time. An LCD also provides instructions and displays authentication results to users. The system is expected to reduce key loss, prevent unauthorized access, and produce more organized transaction records. It also improves user accountability and accelerates investigations when keys are missing, while supporting safer and more efficient daily operations. SKYFACE provides a systematic, traceable, and easy-to-monitor key management solution for laboratories, offices, and restricted rooms in educational institutions.
